How EverSealed Works

EverSealed was created for messages that deserve more than a text message, an email or a note left in a drawer.

You may simply want beautiful materials to write and send your own letter today. You may want a sealed handwritten message preserved until a future birthday or milestone. Or you may want to leave private letters for the people you love to receive one day in the future.

EverSealed gives you three different ways to do this:

Writing Kits – premium letter-writing materials for letters you write and send yourself.

Time Capsule Letters – sealed handwritten letters stored by EverSealed and delivered on a future date you choose.

Legacy Letters – sealed handwritten letters preserved for long-term storage and released to your chosen recipients after verified passing.

Each service works differently, so you can choose the option that best matches what you want your letter to become.

1. Writing Kits

Write it yourself. Keep it, give it or send it yourself.

Our Writing Kits are for people who simply want to write a meaningful physical letter using beautiful, high-quality stationery.

EverSealed currently offers Classic and Romantic Writing Kit options.

The kits include premium writing materials such as archival-quality cotton paper, an envelope and writing accessories.

How a Writing Kit works

You choose the Writing Kit you prefer and place your order.

We send the stationery directly to you.

You write your letter privately, in your own time.

When you are finished, the letter belongs completely to you.

You can:

• give it to someone personally

• post it yourself

• keep it somewhere special

• write a letter to your future self

• use it for a birthday, anniversary or another meaningful occasion

Nothing needs to come back to EverSealed

A Writing Kit by itself does not include EverSealed storage or future delivery.

You do not need to return the letter to us.

There is no preservation subscription.

There is no verification process.

It is simply a premium physical letter-writing set for creating something personal in your own handwriting.

2. Time Capsule Letters

Write today. Choose when your letter arrives.

A Time Capsule Letter is for a message that you want to write now but have delivered at a particular moment in the future.

You might write for:

• your child's future birthday

• a graduation

• an anniversary

• your future self

• a personal milestone

• a family occasion

• a date that means something special to you

Unlike an ordinary letter, you do not have to remember to send it years later.

You write it now, while the thoughts and feelings belong to this moment.

EverSealed preserves it until the date you selected.

Custom Date

With the Custom Date option, you choose the specific future date when you want the letter released for delivery.

How a Time Capsule Letter works

1. Choose your date and place your order

Select 1, 3, 5 or 10 years, or a Custom Date. Provide the recipient’s name, postal address and contact details when ordering. For the fixed-year options, the selected period starts on your order date. Returning the letter later does not extend that date.

2. Write and seal your letter

Use your own writing paper and envelope, or buy a separate Writing Kit. On the outside of the sealed letter envelope, clearly write the recipient’s full name and Order number: [your EverSealed order number]. The recipient’s postal address does not need to be written there.

3. Post it to us

Put the sealed letter envelope inside a second, outer postal envelope. Write the Nottingham address below and your EverSealed order number on the outside of the outer packaging, arrange the postage and keep your proof of posting.

4. We register and preserve it

We match your sealed letter to your order when it arrives and store it without reading it. Physical storage starts on receipt; the fixed-year delivery date remains based on the order date.

5. We prepare future delivery

When the selected period or Custom Date arrives, we prepare the original sealed letter for delivery using the most recent valid recipient details held for your order. Please tell us if those details change.

No monthly subscription

Time Capsule Letters do not require the ongoing monthly Legacy preservation subscription.

The service is purchased according to the Time Capsule option you select.

3. Legacy Letters

Leave your words for the people who matter most.

A Legacy Letter is different from a Time Capsule Letter because there is no fixed future delivery date.

Instead, your message is preserved until the future release conditions have been verified.

You write the letter now.

You choose who it belongs to.

EverSealed protects it until the time comes for that person to receive it.

Choose how many letters you want to preserve

The EverSealed Legacy Letter Service currently allows you to choose:

1 Letter

2 Letters

4 Letters

or

6 Letters

Each letter can be written for a different recipient.

For example, you may want individual letters for your partner, children, grandchildren or other important people in your life.

Your recipients do not have to know that you have written a Legacy Letter for them.

You may tell them if you want to, or keep the letter completely private.

How the Legacy Letter Service works

Step 1 – Choose the number of letters

Select 1, 2, 4 or 6 Legacy Letters.

Your monthly preservation subscription will depend on the option selected.

The subscription begins when you place your order.

There is no separate starter-package charge.

Step 2 – Create or use your EverSealed customer account

Because Legacy Letters may remain with EverSealed for many years, the service needs to remain connected to a customer record.

Your EverSealed account and permanent order/reference number allow your stored letters, recipients, verification contacts and future updates to remain linked to the correct archive record.

Keep your EverSealed reference number safely.

Step 3 – Add the recipient information

For each individual Legacy Letter, you provide the details of the person who should eventually receive it.

This includes information such as:

• full name

• delivery address

• email address

• telephone number

If you purchase several letters, each letter has its own recipient record.

Recipient details can be updated later.

Step 4 – Add your verification contacts

For each Legacy Letter, you must add at least one verification contact and may add up to five. Provide each contact's name and either an email address or a telephone number.

These are trusted people who may help EverSealed confirm when the future release process should begin.

A verification contact does not automatically receive your letter and does not have access to its contents.

A letter is not released simply because somebody contacts EverSealed.

The required verification process must first be completed.

Step 5 – We send your Legacy preparation package

EverSealed sends you the correct package for the number of Legacy Letters you selected.

Your package includes:

• premium 100% cotton archival writing paper selected for long-term preservation

• writing materials

• individual Legacy envelopes

• tamper-evident security seals

• clear preparation instructions

• secure outer return packaging

• prepaid return label

You therefore do not need to buy separate return postage.

Step 6 – Write your letters privately

Take your time.

There is no correct way to write a Legacy Letter.

You may write:

• memories

• advice

• reassurance

• family stories

• something you never found the right moment to say

• thoughts for someone's future

• or simply a personal message in your own words

EverSealed does not need to know what you write.

Your words remain private.

Step 7 – Write the recipient's name on every envelope

If you prepare more than one Legacy Letter, clearly write the intended recipient's full name on the outside of each individual Legacy envelope.

This helps us correctly match each sealed physical letter to the recipient information stored in your EverSealed record.

You do not need to write the recipient's full postal address on the Legacy envelope because addresses can change over time.

Future delivery uses the most up-to-date recipient information held in the EverSealed record.

Step 8 – Seal your letters

Place each message into its Legacy envelope and seal it according to the instructions provided.

The tamper-evident process helps show that the letter has remained sealed.

EverSealed does not open or read the letter.

Step 9 – Return everything in one package

If you have prepared several letters, they do not need to be posted separately.

Place all completed Legacy envelopes into the secure outer return package supplied by EverSealed.

Attach the prepaid return label and return the package according to the instructions provided.

Step 10 – We register your letters

When your package arrives, we register the sealed letters under your EverSealed archive reference.

Each individual envelope is matched to its intended recipient record.

The letters are then placed into protected long-term archival storage.

Step 11 – Your information can change over time

A Legacy Letter may remain stored for many years.

During that time, a recipient may:

• move house

• change email address

• change telephone number

You may also need to replace or update a verification contact.

You can contact EverSealed whenever these details change.

Step 12 – You can change your letter

Your words may change as your life changes.

If you decide that the message you originally stored is no longer the message you want someone to receive, you can request the return or replacement of your stored Legacy Letter.

Under the current service policy, a £9.99 handling and secure return fee applies.

Your subscription remains active unless you separately request cancellation.

Step 13 – The future verification process begins

Legacy Letters are never automatically released.

When EverSealed receives information that the release process may need to begin, the required verification is carried out first.

This may involve your nominated verification contacts and supporting information required under the EverSealed verification procedure.

Only after successful verification can the stored Legacy Letters move to the delivery stage.

Step 14 – Each recipient is handled individually

If you stored several letters, each one has its own recipient information.

Once the sender's required verification has been completed, the letters can be handled individually.

For example, if one recipient has moved and their new address still needs to be confirmed, this does not need to stop another correctly verified letter from being delivered.

Step 15 – Your sealed letter is delivered

The sealed Legacy Letter is placed into appropriate secure delivery packaging and sent to the recipient using the applicable tracked delivery process.

The recipient receives the physical message you prepared.

Your handwriting.

Your envelope.

Your words.

Preserved until the moment they were meant to be received.

What Is the Difference?

Writing Kit

Choose this if you simply want beautiful materials for writing a personal letter.

You write it.

You keep it or send it yourself.

EverSealed does not store it.

No subscription. No return to EverSealed.

Time Capsule Letter

Choose this when you know when you want your letter delivered.

You select a future date or future period.

You send the sealed letter to EverSealed.

We store it and release it when the chosen future date arrives.

No monthly Legacy subscription.

Legacy Letter

Choose this when your message is intended to remain protected for the longer term and be released after the required future verification process.

You choose the recipient.

You choose your verification contacts.

EverSealed sends the preparation package, stores the sealed letter and manages the future verification and delivery process.

An ongoing monthly preservation subscription is required.

Your Letter Always Remains Yours

Whatever EverSealed service you choose, one principle remains important:

We do not write your message for you. We do not read it. We do not decide what you should say.

Your letter is yours.

EverSealed's role is to provide the materials where applicable, preserve sealed correspondence where storage has been purchased, maintain the required delivery information and make sure the correct process is followed when the time comes.
