Letter Storage & Release Policy

EverSealed provides secure storage and controlled delivery of sealed letters and memory boxes in accordance with customer instructions and verified conditions.

Secure Storage

• All returned letters and memory boxes are assigned a unique reference number.
• Each item is catalogued and stored in a secure, fire-resistant storage system.
• Items remain sealed and confidential.
• EverSealed does not open sealed letters.

Reference Number and Account Record

• Upon receipt of a returned letter or memory box, EverSealed generates a unique reference number.
• This reference number is sent to the customer via email.
• This reference number must be used in all communications and requests.

Verification Contacts Requirement

Customers must provide between one (1) and five (5) verification contacts.

Each verification contact must include:

• Full name
• Email address
• Phone number
• Relationship to the customer

These contacts may be contacted by EverSealed if subscription payments stop or verification is required.

Death Verification Requirement

EverSealed will not release any stored letter or memory box without reasonable verification of the customer's death.

Verification must be provided via email to support@eversealed.co.uk.

Accepted documentation may include, but is not limited to:

• Death Certificate
• Medical Certificate of Cause of Death
• Hospital confirmation
• GP confirmation
• Funeral director confirmation
• Probate documentation
• Official government documentation
• Other reasonable proof of death

EverSealed reserves the right to request additional documentation to prevent fraud or unauthorized release.

Contact Attempts and Verification Process

• If subscription payments stop, EverSealed will attempt to contact the customer.
• If the customer cannot be reached, EverSealed may contact the nominated verification contacts.
• EverSealed will make reasonable attempts to verify the customer's status.
• No release will occur without reasonable verification.

Release and Delivery

• Once verification is completed, EverSealed will dispatch the letter or memory box.
• Delivery is made using Royal Mail Special Delivery or equivalent secure tracked service.
• Signature may be required.
• Delivery will be made only to the designated recipient.

Customer Request for Return or Replacement

• Customers may request the return of stored letters or memory boxes at any time.
• A £9.99 handling and secure shipping fee applies.
• The request must be made via email and include the reference number.
• Subscription remains active unless cancelled.

Subscription Cancellation

• If subscription is cancelled, EverSealed will return stored items upon request.
• A £9.99 handling and shipping fee applies.
• No refunds are issued for kit purchases or subscription payments.

Retention and Secure Destruction

• EverSealed retains stored items while subscription is active.
• If items cannot be delivered or no authorized party can be reached, EverSealed may retain items for up to 24 months after last contact attempt.
• After this period, items may be securely destroyed using confidential destruction procedures.

Prohibited Items

Customers must not include:

• Cash
• Jewellery
• Precious metals
• Financial instruments
• Illegal materials

EverSealed is not responsible for prohibited items.

Limitation of Liability

EverSealed provides storage and delivery services only. EverSealed is not liable for emotional, personal, or indirect consequences related to stored letter contents.
