Shipping, Return Labels and Secure Delivery Policy

This policy explains how EverSealed dispatches physical products and preservation kits, provides prepaid labels for sending sealed letters to us, registers received letters, and arranges secure future delivery or an authorised Legacy release.

EverSealed is a trading name of Slim and Smart Ltd, a company registered in England and Wales under company number 10291692.

Nothing in this policy limits or excludes any statutory rights available under applicable UK consumer law.

1. Types of EverSealed Orders

EverSealed sells physical products and provides letter preservation services. The applicable dispatch, return, and delivery process depends on the product or service purchased.

Writing Kits and physical accessories

Writing Kits, envelopes, letter paper, pens, seals, and other physical accessories are dispatched to the shipping address provided during checkout.

Time Capsule services

A Time Capsule preservation service does not include a Writing Kit, letter paper, envelope, pen, or EverSealed Security Seal unless the relevant product description expressly states otherwise.

Where the customer prepares their own sealed letter, EverSealed will provide the applicable return instructions and prepaid return label by email.

Legacy Preservation services

A Legacy Preservation order may include a physical preservation kit, a prepaid return label, or both, depending on the package purchased.

The contents of each package and the applicable return process are described on the relevant product page and in the order confirmation.

2. UK Delivery Charges

Standard delivery within the United Kingdom is included in the advertised price only where the relevant product page expressly states that UK shipping is included.

Where standard UK delivery is included, no separate standard delivery charge will be added at checkout for that product.

For this policy, United Kingdom delivery normally means delivery to addresses in England, Scotland, Wales, and Northern Ireland.

Delivery to the Channel Islands, the Isle of Man, British Overseas Territories, or international destinations is not included unless it is specifically offered on the product page or agreed by EverSealed before purchase.

Additional postage, customs duties, taxes, or handling charges may apply to destinations outside the standard UK delivery area.

3. Order Confirmation

After an order has been placed, the customer will receive an order confirmation at the email address provided during checkout.

The confirmation may include:

  • the order number;
  • the products or services purchased;
  • the selected preservation period, Custom Date, or subscription;
  • the shipping address for physical products;
  • the recipient and Future Delivery Address details;
  • return instructions;
  • a prepaid return label or information about when it will be provided;
  • the applicable EverSealed Reference Number;
  • estimated processing or dispatch information.

Customers should review the confirmation carefully and contact EverSealed as soon as possible if any information is incorrect.

4. Processing and Dispatch of Physical Products

Physical products and kits are prepared after an order has been accepted and payment has been successfully processed.

The applicable estimated processing or dispatch period may be displayed on the product page, during checkout, or in the order confirmation.

Unless a different delivery period has been agreed, physical goods will be delivered without undue delay and normally within 30 days after the contract has been entered into.

Dispatch or delivery may take longer during severe weather, public holidays, postal disruption, industrial action, stock shortages, unusually busy periods, or circumstances outside EverSealed's reasonable control.

Where a material delay occurs, EverSealed will contact the customer using the contact details connected with the order and explain the available options.

5. Responsibility for Physical Products During Delivery

Where EverSealed arranges delivery, responsibility for the physical goods normally remains with EverSealed until the goods are delivered to the customer or to another person identified by the customer to receive them.

This may differ where the customer independently arranges a delivery provider that was not offered or selected by EverSealed.

6. Delivery Methods

EverSealed may use Royal Mail or another reputable postal or courier provider appropriate to the size, weight, value, destination, and nature of the shipment.

The selected delivery service may provide:

  • tracking;
  • delivery confirmation;
  • a photograph or signature on delivery;
  • appropriate compensation cover;
  • identity verification where available and appropriate;
  • other security measures reasonably suitable for the shipment.

The delivery provider or service may vary according to availability, destination, package dimensions, security requirements, carrier service changes, and operational needs.

7. Shipping Address for Physical Products

Writing Kits, preservation kits, and other physical products are sent to the shipping address entered and confirmed during checkout.

Customers must check that the following information is accurate:

  • recipient name;
  • house number or building name;
  • street address;
  • town or city;
  • county or region, where applicable;
  • postcode;
  • country;
  • email address and telephone number.

Customers should contact EverSealed immediately if the shipping address needs to be corrected.

EverSealed cannot guarantee that a shipping address can be changed after an order has entered final processing or has been handed to the delivery provider.

8. Tracking Information

Where tracking is available, tracking information will normally be sent to the email address or telephone number connected with the order.

Customers should monitor the tracking information and follow any collection, redelivery, identification, or delivery instructions issued by the relevant provider.

Tracking scans, estimated delivery times, and carrier updates are provided by the delivery provider and may not always update immediately or in real time.

9. Failed, Refused, or Uncollected Deliveries

A delivery may be unsuccessful where:

  • the address is incorrect, incomplete, or outdated;
  • the recipient is unavailable;
  • a required signature or identification cannot be obtained;
  • the delivery is refused;
  • the item is not collected within the carrier's permitted period;
  • The carrier cannot safely access the delivery location.

Where delivery fails because of incorrect or outdated information supplied by the customer, refusal, non-collection, or another circumstance for which the customer or recipient is responsible, EverSealed may require payment of reasonable additional postage and handling costs before arranging another delivery.

No additional redelivery charge will apply where the failure was caused by EverSealed or the delivery provider and the customer supplied complete and accurate information.

10. Prepaid Return Labels for Sealed Letters

Where a Time Capsule or Legacy Preservation service includes a prepaid return label, the label will be sent to the email address connected with the order.

The customer must use the official label in accordance with the return instructions provided by EverSealed.

If the label is missing, damaged, expired, unreadable, or cannot be printed, the customer must contact EverSealed before sending the letter.

Customers must not create their own label, use an old label, or send a preserved letter to a different address unless EverSealed has provided written confirmation.

11. Important Packaging Instructions

Never attach the prepaid return label directly to the sealed envelope intended for the future recipient.

The correct process is:

  1. Write the letter intended for the future recipient.
  2. Place the letter inside the recipient envelope.
  3. Seal the recipient envelope securely.
  4. Clearly write the correct EverSealed Reference Number on the outside of the sealed recipient envelope.
  5. Place the sealed recipient envelope inside a separate outer envelope or suitable protective mailing package.
  6. Attach the prepaid return label only to the outer packaging.
  7. Send the package using the return instructions provided by EverSealed.

The outer envelope or mailing package is used only to transport the sealed recipient letter safely to EverSealed.

EverSealed stores the sealed recipient envelope itself. The outer return packaging is not normally stored and will not be used for the future delivery to the recipient.

12. EverSealed Reference Number

Every sealed recipient envelope sent to EverSealed must clearly display the correct EverSealed Reference Number.

Where an order contains more than one preservation service or stored letter, each sealed envelope may receive a separate Reference Number.

The customer must ensure that the Reference Number written on each sealed envelope matches the correct service, letter, and recipient details.

A missing, incorrect, or unreadable Reference Number may delay registration and secure storage while EverSealed attempts to identify the correct order.

If the customer is uncertain which Reference Number to use, they must contact EverSealed before posting the letter.

13. Proof of Posting

Customers should obtain and retain proof of posting and any available tracking information when sending a sealed letter or approved item to EverSealed.

This information may be required if a shipment is delayed, lost, misrouted, or disputed.

A tracking status showing that a package has reached the designated return location does not necessarily mean that the sealed letter has completed EverSealed's internal registration process.

14. Receipt and Registration of a Sealed Letter

After a returned package is received, EverSealed will normally:

  • identify the package using its Reference Number;
  • remove the sealed recipient envelope from the outer packaging;
  • check the exterior of the sealed envelope for visible damage;
  • register the sealed envelope in the relevant service record;
  • Place the sealed envelope into secure storage.

EverSealed does not routinely open, read, scan, photograph, or copy the contents of a sealed recipient letter.

Confirmation will be sent to the customer once the sealed letter has been successfully identified and registered.

If the envelope is damaged, unsealed, unidentified, or does not match the relevant order, EverSealed may contact the customer before placing it into normal storage.

15. Preservation Period and Late Return of a Letter

For Time Capsule services, the selected preservation period begins on the date the order is placed, unless the applicable product description expressly states otherwise.

Customers should return their sealed letter as soon as reasonably possible after purchasing the service.

A delay by the customer in sending the letter to EverSealed does not extend the purchased preservation period or automatically change the scheduled dispatch date.

If a letter arrives too late for the selected future delivery date to be reasonably achieved, EverSealed will contact the customer to discuss an alternative date or another available solution.

16. Secure Future Delivery

At the scheduled future delivery stage, or following an authorised and verified Legacy release, EverSealed will dispatch the original sealed recipient envelope using an appropriately secure and trackable postal or courier service.

For eligible UK deliveries, EverSealed will normally use Royal Mail Special Delivery Guaranteed or another service offering reasonably equivalent tracking, delivery confirmation, and security features, subject to availability and the carrier's terms at the time of dispatch.

The selected service may include:

  • end-to-end tracking;
  • delivery confirmation;
  • a photograph or signature on delivery;
  • appropriate compensation cover;
  • identity verification where available and considered necessary;
  • other security measures appropriate to the delivery.

17. Signatures and Named-Recipient Delivery

A standard signature-on-delivery service does not necessarily ensure that only the person named on the address label can accept the item.

Depending on the carrier's rules, another person present at the delivery address may be permitted to accept and sign for the shipment.

Wherever EverSealed determines that delivery to the specifically named recipient is appropriate and a suitable service is available, EverSealed may use an identity-verification or named-recipient delivery option.

Where identity verification applies:

  • the carrier may request valid identification;
  • the name on the identification may need to match the delivery name;
  • the carrier may refuse delivery if suitable identification is not shown;
  • Collection, redelivery, or alternative delivery options may be restricted.

Customers should ensure that the recipient's name is accurate and corresponds with the name the recipient uses on official identification.

18. Preferred Future Delivery Date

Where the customer selects a future delivery date, EverSealed will prepare and dispatch the preserved letter with reasonable care in relation to that date.

Unless EverSealed expressly confirms otherwise in writing, the selected date is a preferred delivery date and not an unconditional guarantee that the postal or courier provider will complete delivery on that exact calendar day.

Delivery may be affected by:

  • weekends and public holidays;
  • carrier cut-off times;
  • the recipient's location or postcode;
  • weather or transport disruption;
  • industrial action;
  • security or identity checks;
  • failed delivery attempts;
  • events outside EverSealed's reasonable control.

EverSealed may dispatch the letter before the preferred delivery date where reasonably necessary to improve the likelihood of timely arrival.

19. Future Delivery Address

The Future Delivery Address is separate from the customer's own billing, shipping, or residential address.

The customer is responsible for keeping the recipient's name and Future Delivery Address accurate and up to date.

Where the relevant My Account function is available, authorised updates may be submitted through the customer's account.

Until that function is available or where assistance is required, updates must be requested by emailing: support@eversealed.co.uk.

The customer must provide the relevant EverSealed Reference Number and may be required to complete an identity or authority check.

Updates must be submitted before the letter enters final dispatch preparation. EverSealed cannot guarantee that an update can be applied after the letter has been processed, labelled, or handed to the delivery provider.

EverSealed will use the latest properly authorised Future Delivery Address recorded before final dispatch preparation.

20. Incorrect or Outdated Future Delivery Details

EverSealed is not responsible for a delivery failure caused solely by incorrect, incomplete, or outdated recipient information supplied or approved by the customer where EverSealed used the latest properly authorised details available in its records.

Where a preserved letter is returned because the customer failed to update the recipient information, reasonable additional secure handling and redelivery charges may apply before another dispatch is arranged.

This does not apply where the delivery failure was caused by an error made by EverSealed or its delivery provider.

21. Undeliverable Preserved Letters

If a preserved letter cannot be delivered, EverSealed may:

  • review the carrier tracking and delivery information;
  • attempt to contact the customer or authorised account holder;
  • request confirmation or correction of the recipient details;
  • arrange another secure delivery attempt where appropriate;
  • return the sealed letter to secure storage while the issue is resolved.

Additional charges may apply where another delivery is required because of incorrect information, refusal, non-collection, or another circumstance for which the customer or recipient is responsible.

22. Delayed, Lost, or Damaged Shipments

If a kit, physical product, prepaid return shipment, or preserved letter appears to be delayed, lost, or damaged, the customer should contact EverSealed as soon as possible.

EverSealed may request:

  • the order number;
  • the EverSealed Reference Number;
  • the carrier tracking number;
  • proof of posting;
  • photographs of any damaged packaging;
  • other information reasonably required to investigate the issue.

EverSealed will investigate the matter with the relevant postal or courier provider and provide any remedy required under applicable law and the relevant service agreement.

Carrier compensation, delivery guarantees, exclusions, claim periods, and maximum compensation amounts remain subject to the carrier's applicable terms.

Nothing in this section affects the customer's statutory rights.

23. Prohibited and Unsuitable Contents

Customers must not send prohibited, illegal, dangerous, hazardous, explosive, flammable, perishable, contaminated, or restricted items to EverSealed.

Only the type of letter or physical item expressly covered by the purchased preservation service may be sent.

The following must not be enclosed without EverSealed's prior written agreement:

  • cash, coins, or payment cards;
  • passports or original identity documents;
  • jewellery or precious items;
  • valuable or irreplaceable certificates and legal documents;
  • controlled substances or medicines;
  • weapons or ammunition;
  • batteries or electronic devices;
  • liquids, food, or perishable items;
  • any item prohibited or restricted by the relevant carrier.

EverSealed may refuse, isolate, return, or take other reasonable action in relation to a package that appears unsafe, unlawful, unsuitable, or inconsistent with the purchased service.

24. International Delivery

International delivery or international future dispatch is available only where it is expressly offered or agreed upon by EverSealed.

International shipments may be subject to:

  • additional postage or delivery charges;
  • customs declarations;
  • import duties or local taxes;
  • destination-country restrictions;
  • longer delivery periods;
  • different tracking, signature, compensation, or identification options.

Any known charge payable directly to EverSealed will be disclosed before the customer is required to pay it.

The recipient may be responsible for customs duties, import taxes, or other charges imposed by the destination country unless EverSealed confirms otherwise in writing.

25. Changes to Carriers or Delivery Services

EverSealed may change the postal or courier provider used for a shipment where reasonably necessary because of availability, carrier service changes, destination, package size, security requirements, disruption, or operational needs.

Any alternative service selected for a preserved letter will be chosen with reasonable regard to tracking, security, delivery confirmation, and the nature of the item.

26. Returns, Replacements, and Subscription Cancellations

This policy explains shipping, return-label, and secure-delivery procedures.

The following matters are governed separately by the applicable Return, Cancellation and Refund Policy and Subscription Policy:

  • change-of-mind product returns;
  • refund eligibility;
  • the voluntary return of a stored letter;
  • replacement of an existing stored letter;
  • the £9.99 handling and secure shipping fee;
  • subscription cancellation;
  • return of stored items after cancellation.
