Security & Verification Process

Protecting Your Letter Until the Right Moment

EverSealed provides secure physical preservation and future delivery for sealed handwritten letters.

You write your letter privately, seal it yourself and send it to EverSealed according to the instructions provided with your service.

We then preserve the sealed letter until the future delivery date or Legacy release process connected with your chosen service.

This page explains:

  • how stored letters are handled;

  • how privacy is protected;

  • how Time Capsule delivery works;

  • how Legacy verification works;

  • what verification contacts do;

  • and what happens before a letter is released.

Secure Physical Preservation

When your sealed letter is received by EverSealed, it is recorded under the relevant EverSealed order or archive reference and placed into secure preservation.

During normal storage and handling:

  • your letter remains sealed;

  • EverSealed does not routinely open or read the letter;

  • EverSealed does not routinely photograph or copy its contents;

  • stored correspondence is handled confidentially; and

  • access is limited to authorised operational handling.

Operational handling may include:

  • receiving and recording the letter;

  • placing it into storage;

  • locating it when required;

  • updating associated recipient information;

  • completing an applicable Legacy verification process;

  • preparing it for return where requested; or

  • preparing it for future delivery.

Your Letter Remains Private

Your message remains private while it is stored.

Verification contacts do not receive access to the contents of your sealed Legacy Letter.

Recipients do not receive access to the letter before the applicable delivery process begins.

Other third parties are not given access to the contents of stored correspondence simply because they are connected with the customer or recipient.

Customer, recipient and verification information is maintained separately from the sealed contents of the letter and is used only where reasonably necessary to operate the EverSealed service.

Your EverSealed Reference

Each stored letter is connected to its relevant EverSealed order or reference information.

Please keep your order or reference number safely.

You should provide it whenever contacting EverSealed regarding:

  • recipient details;

  • future delivery information;

  • verification contacts;

  • a stored letter;

  • a replacement request;

  • a return request;

  • subscription questions;

  • or another account update.

This helps us identify the correct record and reduce the risk of changes being applied to the wrong letter.

Two Different Future Delivery Processes

EverSealed offers two different forms of future delivery.

The process depends on the service you choose.

1. Time Capsule Letters

Delivery Based on Time or a Future Date

A Time Capsule Letter is delivered according to a future period or future date selected by the sender.

Current options include:

  • 1 Year

  • 3 Years

  • 5 Years

  • 10 Years

  • Custom Future Date

For fixed-term Time Capsules, the preservation period begins when the sealed letter has been received and recorded by EverSealed.

For a Custom Future Date Time Capsule, the selected date determines when the future delivery process begins.

Time Capsule Letters are date-based services.

They do not require:

  • verification of the sender's death;

  • Legacy verification contacts; or

  • a Legacy release process.

When the selected future time arrives, EverSealed prepares the sealed letter for delivery using the most recent valid recipient information held for the order.

2. Legacy Letters

Delivery After the Sender's Passing Has Been Verified

A Legacy Letter works differently from a Time Capsule Letter.

There is no predetermined future delivery date.

Instead, the letter is preserved until EverSealed has received information indicating that the sender has passed away and the required verification process has been completed.

EverSealed does not release a Legacy Letter simply because someone tells us that the sender has died.

Verification must take place first.

Legacy Verification Contacts

Every EverSealed Legacy Letter Service requires at least one verification contact.

You may nominate up to five verification contacts.

Verification contacts are trusted people who may help EverSealed confirm relevant information when the future Legacy release process begins.

Their role is limited to helping with verification and, where appropriate, helping EverSealed confirm or obtain up-to-date information.

A verification contact does not:

  • own your Legacy Letter;

  • receive automatic access to it;

  • have the right to read it;

  • control its contents;

  • or automatically decide whether it should be released.

EverSealed remains responsible for following the applicable verification process before release.

Keeping Verification Contacts Up to Date

Because a Legacy Letter may remain in preservation for many years, verification contact information can change.

A verification contact may:

  • move;

  • change telephone number;

  • change email address;

  • become unavailable;

  • or no longer be the person you want to nominate.

You may contact EverSealed to update your verification contacts.

At least one valid verification contact must remain connected to your Legacy service.

You may have up to five at any one time.

How Legacy Verification Works

When EverSealed receives information indicating that a Legacy sender may have passed away, the verification process begins.

Depending on the circumstances, this may include:

  • reviewing the sender's Legacy record;

  • contacting one or more nominated verification contacts;

  • checking relevant customer information;

  • requesting appropriate supporting evidence;

  • reviewing reliable documentation;

  • confirming the intended recipients; and

  • confirming available delivery information.

EverSealed may request additional information where reasonably necessary before completing the verification process.

Evidence of the Sender's Passing

EverSealed requires reasonable confirmation before a death-related Legacy release can proceed.

Depending on the circumstances, appropriate evidence may include official or other reliable documentation capable of helping confirm the sender's passing.

EverSealed may request further evidence if the information supplied is incomplete, inconsistent or does not provide sufficient confidence that the release condition has been met.

The purpose of this process is to reduce the risk of:

  • premature release;

  • accidental release;

  • fraudulent release;

  • release based on incorrect information; or

  • unauthorised delivery.

A Legacy Letter Is Never Released Automatically

A Legacy Letter is not automatically released because:

  • someone contacts EverSealed;

  • a verification contact makes a request;

  • a subscription payment stops;

  • a recipient asks whether a letter exists; or

  • EverSealed receives an informal report about the sender.

The applicable verification process must first be completed.

Only after EverSealed is reasonably satisfied that the required release condition has been met can the Legacy Letter move to the delivery stage.

Recipient Information

Each Legacy Letter is connected to its intended recipient information.

This may include:

  • full name;

  • future delivery address;

  • email address; and

  • telephone number.

If several Legacy Letters have been prepared, each one may have a different recipient.

Customers should notify EverSealed when important recipient information changes.

Keeping Delivery Information Up to Date

A letter may remain in preservation for several years.

During that time, a recipient may move or their contact information may change.

If you become aware of updated recipient information, contact EverSealed as early as possible.

Please provide your EverSealed order or reference number together with the updated information.

Maintaining accurate future delivery details helps reduce the risk of delay when a letter becomes eligible for release.

What Happens When a Time Capsule Becomes Due?

When a Time Capsule reaches its selected future delivery period or Custom Future Date, EverSealed reviews the available recipient and delivery information.

If the information appears valid, the sealed letter is prepared for dispatch using the applicable delivery process.

No Legacy verification is required.

What Happens When a Legacy Letter Becomes Eligible for Release?

A Legacy Letter becomes eligible for delivery only after the sender's passing has been appropriately verified.

Before dispatch, EverSealed may review:

  • the intended recipient;

  • the most recent delivery address;

  • available email or telephone information; and

  • any other information reasonably required to complete delivery.

Once the required verification and delivery checks have been completed, the sealed Legacy Letter can be prepared for secure tracked delivery.

Multiple Legacy Recipients

Where a customer has stored more than one Legacy Letter, each recipient is managed separately after the sender's verification has been completed.

For example, if one recipient's address cannot immediately be confirmed, this does not necessarily prevent another correctly verified recipient's letter from being prepared for delivery.

This helps prevent one recipient issue from unnecessarily delaying every Legacy Letter associated with the same sender.

If Verification Cannot Be Completed

If EverSealed cannot obtain sufficient confirmation that the required Legacy release condition has been met, the letter will not be released at that time.

The Legacy Letter will remain subject to the applicable preservation and release procedures until:

  • sufficient verification is obtained; or

  • another relevant provision of the EverSealed terms or policies applies.

This is intended to protect the sender's original instructions and reduce the risk of an incorrect release.

If Delivery Cannot Be Completed

If a Time Capsule or Legacy Letter becomes eligible for delivery but the available delivery information is incomplete, invalid or no longer usable, EverSealed may delay dispatch while reasonable attempts are made to resolve the issue.

For Legacy Letters, this may include contacting one or more verification contacts where appropriate.

If an eligible Legacy Letter cannot be delivered after reasonable attempts, the additional retention and contact procedures described in the Letter Storage & Release Policy will apply.

Read the Letter Storage & Release Policy

Tamper-Evident Security Seals

Where an EverSealed service includes a tamper-evident security seal, customers should use the seal according to the preparation instructions provided.

The purpose of the security seal is to provide visible evidence if the sealed envelope has been interfered with.

The presence of a security seal does not replace EverSealed's wider storage, identification and verification procedures.

Confidential Handling of Personal Information

EverSealed uses customer, recipient and verification contact information only where reasonably necessary to administer the service.

This may include using information to:

  • identify stored letters;

  • maintain order and archive records;

  • manage recipient information;

  • maintain verification contact details;

  • process updates;

  • communicate with customers and relevant contacts;

  • complete Legacy verification;

  • administer delivery; and

  • manage associated service requirements.

Personal information is handled separately from the contents of the sealed letter.

For more information about personal data, please see the EverSealed Privacy Policy.

Our Commitment

EverSealed exists to protect meaningful private correspondence between the moment it is written and the moment it is meant to be received.

Our responsibility is to preserve sealed letters carefully, maintain the information required for future delivery and follow the appropriate release process for the service chosen by the sender.

For Time Capsule Letters, that means waiting for the selected future time.

For Legacy Letters, that means completing the required future verification first.

Your words remain private.
Your instructions remain important.
And the letter remains sealed until the right moment arrives.
